Setting up Pipedrive Nova – How to get started in just a few minutes

Pipedrive Nova is included free of charge with all Pipedrive licenses, and setting it up requires no coding or complex integrations. Here is a concise step-by-step guide on how to get started with Pipedrive Nova.

Step 1: Ensure access permissions and launch the setup wizard

Nova can be found under its own tab in Pipedrive. When you open Nova for the first time, a setup wizard will appear on the screen. Go through the wizard—it will ask you, for example, to select all the data fields you want Nova to update.

Because Nova is still very new, it may not always pick the exact right values for data fields. If you prefer to keep full control over data field updates, you can uncheck all selections here. You can turn them back on in the settings at any time.

  • Admin approval: Nova is enabled by default for all users. If you do not see Nova, ask your company’s Pipedrive administrator to turn it on for you. (Admins can read more in this blog post.)

  • Terms of Service: Accept Nova’s terms of service within the setup wizard.


Step 2: Connect your accounts (Email, Calendar, and Slack)

In order for Nova to generate concise briefings before your meetings, it needs access to your communication channels:

  • Outlook / Gmail: Even if your email is already synced with Pipedrive, Nova will ask for a separate connection to your Outlook or Gmail account. This is because Nova reads messages in real time to build meeting briefings.

  • Calendar: If your calendar is already connected to Pipedrive, it will appear automatically in Nova. Nova only reads the calendar to prepare for meetings—it does not create or delete calendar events on your behalf.

  • Slack (optional): You can optionally connect Nova to your company’s Slack workspace to receive meeting briefings and summaries directly in your Slack channels.


Step 3: Choose your recording method (AI Notetaker or Nova Companion?)

Nova offers two different ways to record and transcribe sales meetings. You can choose the option that best suits your needs:

  • Option A: AI Notetaker (Bot)

    • The bot automatically joins Teams, Google Meet, or Zoom meetings as a visible participant about 2 minutes before the start time.

    • You can set the bot to automatically join all meetings (Auto-join) or invite it manually.

  • Option B: Nova Companion (Desktop App)

    • You can install the lightweight Nova Companion desktop app for Mac or Windows.

    • The Companion app does not send a separate bot into the call; instead, it records your computer’s audio directly. This works with any video conferencing tool, VoIP call, or even in-person meetings (as long as your microphone picks up the audio).


Step 4: Configure syncing rules and fields

Finalize your preferences under Settings > Meeting and activity syncing:

  • Activities: Define which Pipedrive activity types (e.g., “Meeting”, “Demo”, “Presentation”) Nova should interpret as meetings.

  • CRM fields: Under Settings > AI settings > Data fields, you can select the deal, person, and organization fields where you allow Nova to suggest post-meeting updates. You can even give Nova text instructions on how to interpret specific fields (e.g., where in the conversation to identify budget details).
